Greet customers/guests/ visitors and inform the receiving department to meet the customers/visitors/guests in a timely manner.
Answer telephone calls or manage the switchboard, no missing calls and transfer to right person (Responsibility).
Take down messages and ensure the messages are forwarded to the respective receiving office(s) (Responsibility).
Keep the reception area, desk, product shelves tidy.
Update internal phone directory (JQ Area).
Record and deliver (Sending Email to receivers) income Couriers.
Welcome visitors and keep record. Make sure no stranger come in office directly.
Travel service: Booking hotel, domestic and international air tickets on time.
Deal with employees’ stationery and business card applications.
Access Card management: provide new card to new employees and lend visiting card to internal visitors and keep record.
Admin related payment allocation on time.
Canteen management: print and distribute meal ticket and random check.
Shuttle bus random check and send report to supervisor.
Prepare employee birthday cake and card every month, no missing any employees.
Key management: seating plan updating and key record updating. Take record for employee key application.
Updating payment and purchase record, filling all admin related files.
Visa Issue: prepare invitation letter to staff and provide related file if needed.
Urgent case: Dealing with emergencies, such as property management service, finding Courier, booking meals, etc.)
Assist supervisor & managers’ work.
